Cascade Township Library Advisory Board Meeting
Monday, February 7, 2005 at 7:00 p.m.

Ron welcomed all who attended and noted that Diane, Ed, and Chuck were unable to attend the meeting and a formal Library Advisory Board Meeting would not be taking place.

Report - Building Committee Report: Ron updated the attendees with the plans that have been developed over the past month regarding the Library's expansion.

Ron reported that the design and initial plans are done and the addition will be somewhat larger than originally planned. Ron described the changes to the program room and storage area. The storage area and program room have been enlarged from the original plans. The program room will also have moveable partitions to accommodate various meetings simultaneously. Ron noted that there could be approximately sixty-two (62) Township meetings held at the Library per year and the need is there for meeting/program space. He also noted that Fishbeck has been very receptive regarding changes to the originals plans.

Ron noted that two (2) companies have come in to review a conveyor for the books to get them downstairs and the committee is awaiting their plans and costs for the book conveyor.

Ron said that a donation has been received from Maria and Doug DeVos for $50,000.00 and he plans to approach the Van Andel Family for a contribution. He also noted that $309,000.00 has been raised so far and a Cabinet will be formed in February to seek further major gifts for the project. Ron hopes the Cabinet will be trained in February as well.

Ron mentioned he is continuing to work with the Tassel and Wisner families.

Lynne Marie shared the teen room concepts and said the carpet would be different waves of blues, new lighting and big comfortable chairs. The interior designer has been working closely with the teens on this project. The colors of the program room will be a brick red or rust color with various taupe/earth-toned accents that will blend with the rest of the Library's décor.

Ron also said the Committee will be holding a penny campaign for the general public to show their support. Laura noted that the Library is trying to borrow a giant piggy bank from the Munising Library. He also said that the Committee would be approaching businesses for donations as well.

Ron said the Committee has been meeting every Tuesday morning and asked the Board that if they knew anyone who'd be interested in making phone calls to potential donors, to let him know.

Ron summarized his report by noting that Mary Carpenter, Township Treasurer, has been recording the contributions received and the brochure has been changed to reflect the tax-exempt information.

Friends Report: Ron asked if Friends had a report they would like to share and Debbie said that Friends did not meeting this month and will meet in March. Debbie did note that Friends agreed to the $14,000.00 budget proposal Diane had made for the branch.

Other Business: Ron asked if there was any other business that needed to be covered. The attendees held open discussion regarding the Library expansion plans.

Ron noted that the Township would move their meetings from the museum to the Library once the expansion is completed. The Township would then be able to actually have a museum for the Township if the meetings were moved.

Ron also said that Steelcase has offered to donate furniture as their contribution for the expansion project. Ron said he would have to get a list of furniture needed from the interior designer to see if there is anything Steelcase could donate.

General discussion was held regarding the public campaign and the tiles the Committee is thinking about offering. Lynne Marie and Laura noted that an artist has been contacted to create modern art using stones, leaves and other materials for the artwork. Ron noted the Committee would like to obtain one sponsor for the piece and have the public contribute for additional tiles to the piece. Lynne Marie noted that the tiles would cost approximately $40.00 per tile and the idea is to have a plaque acknowledging the sponsor of the entire artwork and each tile would note the individual contributor. Ron noted the artwork would be placed near the vestibule of the main lobby above a bench and be the main focal point at the Library's entrance. Laura described the artwork and noted that though it sounds unusual, it is very beautiful once all the pieces have been put together.

Ron noted to the Board that success breeds success and the Committee is also very open to suggestions regarding potential donors. He is very excited about the expansion and commended Diane for pouring herself into this project morning, noon and night. Ron summarized that the Committee hopes to start the bidding process in March or April. The Township has also been discussion a separate grounds building on the Library's property and once the bidding process takes place, may be able to obtain lower bids if the Library's expansion and the grounds building are bid together as one (1) project. Ron said the details still need to be worked out and further information will be provided once a decision has been made.

Maureen asked about thank you letters to recent donors and Ron noted that she would be sending thank you letters to the public donors; the contributions being received thus far are being sent thank you's from those with contacts with that specific donor.

Ron summarized the meeting by noting that KDL printed the brochures for under $250.00 and the pledge cards for $2.50 - thank you, KDL!

The next Cascade Township Library Advisory Board Meeting will be held on Monday, March 7, 2005 at 7:00 p.m. in the Library's Program Room.
